Volunteer Positions

PTA President

(6-8 hours/month)

Great for somebody detail-oriented and interested in playing a key role in the PTA organization.

  • PTA leader
    • Help plan the budget
    • Help plan events, fundraisers, teacher appreciation
  • Schedule events with the school
  • Use county system to reserve rooms for PTA events
  • Meet with the principal to discuss ways to increase parent involvement and other school issues

 

PTA Vice President for Fundraising

(~5 hours per month, possibly more during a fundraiser, less other times)

  • Play a key role in setting and achieving fundraising goals for the school year
    • Finding fundraiser event coordinators to take the lead on each fundraiser
    • Work with the board for a budget for each fundraiser event
    • Help the fundraising event coordinators find volunteers
  • Participate in overall PTA planning as a member of the Executive Board
  • Attend all PTA general membership meetings

 

PTA Vice President for Events

(~5 hours per month, possibly more while planning an event, less other times)

  • Play a key role in planning and organizing events for the school
    • Finding event coordinators to take the lead on each event
    • Work with the board for a budget for each event
    • Help the fundraising event coordinators find volunteers
  • Take the lead role for some events
    • Back-to-school picnic
    • 5th grade promotion
  • Participate in overall PTA planning as a member of the Executive Board
  • Attend all PTA general membership meetings

 

PTA secretary

(~5 hours/month)

Great for somebody detail-oriented and interested in helping the PTA at an organizational level.

  • Participate in overall PTA planning as a member of the Executive Board
  • Attend all PTA general membership meetings
    • Create agendas for meetings (with input from Board)
    • Record minutes at meetings
    • Post minutes on PTA website
  • Keep certain PTA records and submit forms to state and county PTAs

PTA Treasurer

(6-8 hours/month)

Great for somebody financially minded, detail oriented, and who wants to help the PTA at an organizational level.

  • Attend official training by the Maryland PTA
  • Be one of the signers on the PTA bank account
  • Maintain financial records
  • File tax forms
  • Prepare yearly budget (with input from other Board members)
  • Deposit money to PTA account from fundraisers
  • Provide reimbursements from PTA account
  • Submit annual records for audit

Membership Chair

(~2 hour/month)

Great for somebody who can attend events at the beginning of the year to advertise membership, and then mostly stay behind the scenes.

  • Collect membership forms and fees
  • Maintain a list of active members
  • Submit monthly membership reports to the county and the state
  • Work with the treasurer to submit dues
  • Distribute membership cards to members once or twice per year

Volunteer Coordinator

(~1-2 hour/month)

Perfect for somebody who wants to help round up eager volunteers for events!

  • Work with the VP’s and other chairpersons
  • Maintain lists of volunteers, and preferred ways to help
  • Email volunteer lists to help event coordinators find volunteers for upcoming events

Communications

(~1 hour/week)

Perfect for somebody who wants to help other Fairland families stay up-to-date on PTA happenings!

  • Collect input from other PTA members about upcoming events
  • Post information on PTA website and Facebook page
  • Submit announcements to Fairland administration to be included in weekly phone calls or morning announcements
  • Maintain e-mail list
  • Create and send periodic e-mail newsletters

NOTE:  This job could be subdivided into smaller duties (e.g, Website updates; Newsletter; Facebook page; school announcements), and can be done almost entirely on a home computer!

Event Coordinator

(~5-8 hours a single time during the year)

Perfect for somebody who can commit a set amount of time to a single event, but who might not want to be involved in all events.

  • Work with the VP of events
  • Take the lead in planning/organizing/executing a single event for the school year
    • School picnic
    • Dance
    • Family night
    • or anything you’d like to see at Fairland for families to do together!

Fundraising Event Coordinator

(~8 hours a single time during the year, spread out over a number of days)

Perfect for somebody who can commit a set amount of time to organizing a single fundraiser, but who might not want to plan all fundraisers.

  • Work with the VP of Fundraising
  • Take the lead in planning/organizing/executing a single fundraiser for the school year
    • Spirit nights
    • Genevieve’s
    • Yankee Candle
    • Read-a-thon
    • or anything you’d like to bring to Fairland!
  • Responsibilities might include
    • Working with a company to get order forms
    • Working with the front office to collect order forms
    • Scheduling order pick-up at school

Book Fair Chairperson

(~10-15 hours twice per year—less hours if you can recruit help or a co-chair!)

Perfect for someone who has a flexible schedule or is good at organizing others.

  • Work with Scholastic books and the front office to schedule book fairs during the school year
  • Set-up/take-down the book fair, with help
  • Find and schedule volunteers to help staff the book fair
  • Open/close the registers at the beginning and end of each day (or find volunteers to do so)
  • Work with the PTA board to plan a family night at the book fair
  • Keep track of the money collected and work with the treasurer to deposit money collected and submit payment to Scholastic at the end of the fair

NOTE—This can very easily have two co-chairs, which would help to divide up the work of opening/closing the registers during book fair week.  So grab a friend!

Afterschool program coordinator

(~5 hours during the summer before the school year, ~1-2 per month as the school year goes on)

Perfect for someone who wants to see more after school program opportunities at Fairland!  The job can be done through phone calls and emails.

  • Work with previous companies to bring programming to Fairland
    • Call/email program directors to find appropriate programs for Fairland
    • Communicate with the front office regarding the programs
      • Help with scheduling
      • Coordinating/distributing advertising fliers
  • Find new companies to work with based on parent feedback/student interest

 Hospitality Chairperson

(~2-4 hours during a month which includes a hospitality event)

Perfect for someone who is creative and resourceful.

  • Play a key role in planning and organizing hospitality events for the school
    • Finding event coordinators to take the lead on each event
    • Work with the board for a budget for each event
    • Help the hospitality event coordinators find volunteers
    • Help with the events when possible

Hospitality Event Coordinator

(~5 hours a single time during the year)

Perfect for somebody who can commit a set amount of time to a single event, but who might not want to be involved in all hospitality events.

  • Work with the Hospitality Chair
  • Take the lead in planning/organizing/executing a single hospitality event for the school year
    • Pre-service lunch for teachers
    • Staff Thanksgiving lunch
    • Winter break coffee & cocoa
    • Valentine’s day
    • Teacher appreciation week
    • or anything you’d like to do to thank and support our teachers and staff!

Cultural Arts Coordinator

(~3 hours per assembly planned, plus ~2-3 hours to watch the previews/showcase at the beginning of the year)

Great for someone who wants to help bring cultural arts to Fairland!  The job can be mostly completed over the computer.

  • Attend a cultural arts showcase or watch previews online to decide which programs to invite to the school
  • Work with the PTA board on a budget for the programming, and with the treasurer to pay for the programs
  • Work with teacher liaison and front office staff to schedule/plan assemblies
  • Submit paperwork (contracts, invoices, etc)
